How to Get Started with LiaLoop
Welcome to LiaLoop! Follow this quick guide to set up your account, establish your workspace, and invite your team to start collaborating.
Create your account & Log in
To begin using LiaLoop, you first need a secure user account. You can create one using three different methods:
- Standard Sign Up: Register with your email address and a secure password. You will receive an email containing a verification link to confirm your identity.
- Continue with Google: Click the Google button for instant sign-up and login.
- Continue with Apple: Click the Apple button for secure, one-click access via your Apple ID.
Choose your path: Join or Create
Because LiaLoop is built for collaboration, all work happens inside a "Workspace." After successfully logging in for the first time, you will be presented with two options:
Option A: Join an existing workspace
If your employer, project manager, or agency has already set up LiaLoop, they will provide you with a unique Workspace Code. Simply paste this code into the prompt to send a Join Request to the Workspace Owner.
Option B: Create your own workspace
If you are the business owner or the person initiating the software for your team, select "Create Workspace." You will automatically be assigned the Owner role, giving you full control over the billing, settings, and data within that workspace.
Set up your company profile (Owners)
Before inviting your team, set up your workspace's core details by navigating to the Company Information page.
Click the Edit button to update your workspace settings:
- Brand & Contact: Upload your company profile picture, and enter your official company email and phone number.
- Working Hours & Days: Define your standard operating schedule. (Note: This is a critical step, as LiaLoop relies on these specific hours and days to accurately calculate employee mandays and automate your end-of-month payslips).
Once everything is correct, click Save to lock in your information.
Workspace Limits: On this same Company Information page, you can easily monitor your current subscription usage, including your team seats available and your remaining storage space available.
Sharing your workspace code (Owners)
Once your company profile is set, your next step is to invite your team members, field staff, or clients.
Navigate to your Workspace Settings. Here, you will find your unique Workspace Code. For security purposes, this code is only visible to the Workspace Owner. Copy this code and share it with your team securely via email or your company chat.
Managing requests & setting roles
When someone uses your Workspace Code, they do not get access immediately. Instead, they appear on your Manage Join Requests page.
As the Owner, you must review each request, accept them into the workspace, and assign them a specific role. LiaLoop offers three primary roles:
| Role | Permissions & Access Level |
|---|---|
| Admin | Can view all projects and manage team members. The Owner can actively tick/untick specific permissions to limit what an Admin can modify (e.g., hiding financial payroll data). |
| Member | Standard staff and field crew. They can view the projects they are assigned to, submit claims, request leave, and log their tasks. |
| Viewer | External clients or temporary subcontractors. They have strictly limited read-only access to specific files and schedules you choose to share with them. |
