Getting Started with Project Finance

LiaLoop takes the headache out of project accounting. Follow this simple guide to link your invoices, track automated labor costs, and see your live profit margins in real-time.

Creating Quotes & Invoices

The first step to tracking your finances is creating a Quotation or an Invoice. When you fill out the document details, you will see an option to set Payment Milestones (like asking for a 50% deposit upfront).

Don't want to deal with milestones? No problem! If you simply leave the payment milestone section blank, LiaLoop will automatically calculate it as a single 100% payment due.

Linking to a Project

Before you save the invoice or quote, make sure to link it to the specific Project it belongs to using the dropdown menu. This tells the system exactly where the revenue is coming from.

What if the job is rejected? If a client rejects a quote or cancels a job, you can easily go back into the document settings and remove the project link, ensuring your dashboard stays accurate.

The Project Finance Tab

Once your invoices are linked, everything is organized perfectly. When you open your project from the Home page, simply click on the Finance tab.

Here, you will be able to view all the linked invoices directly. You no longer have to dig through separate folders to figure out how much revenue a specific project is generating.

Tracking Labor Costs Automatically

Here is where LiaLoop does the math for you. Whenever you assign a team member to a task in the calendar, the system calculates the "burn by hours" (the labor cost) automatically.

Here is a simple example:
Let's say Ali is assigned to a task for 3 days. His daily pay rate in his HR profile is RM 100, and your company working hours are set from 9:00 AM to 6:00 PM. LiaLoop will automatically calculate that Ali worked 27 hours, and it will instantly add RM 300 to your project's total cost.

Checking Task Progress

As an Owner, you can easily verify if the resource has actually completed the work. Just look at the Progress Bar on the task. When a team member marks their task as "Done," the bar fills with color, letting you know the labor cost was justified.

Adding Expenses & Approved Claims

Projects have more costs than just your internal team. In the Finance tab, you can easily enter additional manual costs, such as:

  • Buying raw materials
  • Hiring external freelancers
  • Software subscriptions
  • Marketing and ad fees

Staff Claims: If a team member submits an expense claim (like mileage or lunch) and the Admin approves it, that cost is automatically added to this list so nothing slips through the cracks.

Viewing Your Live Profit Margin

Once your invoices are linked (Revenue) and your labor, claims, and manual expenses are logged (Costs), you get the ultimate result.

All these numbers will automatically be added up and calculated for you. Right at the top of the Finance page, LiaLoop will display your Live Profit Margin. No spreadsheets, no calculators—just real-time financial clarity.
